This notice applies to https://job.opengrove.io/ and related email conversations. The site is operated by an individual based in Hong Kong. For privacy questions, or to request access to, correction or deletion of your information, email job@opengrove.io.

Information we receive

You may browse public role pages without sending us a message. If you choose to email us, we may receive your email address and displayed name, recipients, subject, message, attachments you choose to include, message and thread identifiers, timestamps, delivery and authentication information, and subsequent replies. If you continue a role conversation, records may include the role you identify, information you provide about your interest or work, relevant decisions and operational records. Normal website connection logs may contain an IP address and request details. The homepage and the current video-evaluation role page may offer the same optional one-field email contact form for that video-evaluation role only. If you submit either entry point, we receive your email address, that precise role and its displayed listing version, the submission time and the privacy-notice version recorded with the lead. Submitting the same email again for that role/version does not create a second contact lead. This is a contact lead, not a completed job application. The site does not ask for a résumé in that form. Please do not send sensitive information that is unnecessary for your inquiry.

Your choice and our purposes

Sending an inquiry or leaving an email contact lead is voluntary; you can browse public roles without either. The contact form requires an email address to record your request for possible follow-up about that specific role. We do not verify ownership of the address or send an automatic confirmation, and we do not use this form for unrelated marketing. To respond by email, we need a return address and enough context to understand the question or relevant role; without these, we may be unable to respond or progress the inquiry. We use the information to record the role-specific contact request, receive and verify messages, respond to questions, clarify interest, consider genuine role inquiries or applications, coordinate role-related work, protect the email/site from misuse, and maintain necessary operational and audit records. A one-line expression of interest or a form submission is not automatically a completed application.

Who may receive information

Information may be processed by service providers supporting the website, email and record operations, and accessed by authorised persons and role-related collaborators when needed to handle the inquiry or work. It may also be disclosed where required by applicable law. These categories describe potential recipients; they do not mean every message is sent to every collaborator. Depending on the service or recipient, processing may occur outside Hong Kong. We do not require you to submit personal information through a website form to view public roles.

Retention and your requests

There is currently no automatic deletion schedule for email, contact leads and related operational records. If you request access, correction or deletion via job@opengrove.io, we will review the request manually, including what can be changed or removed and what must be kept for a continuing purpose or applicable obligation. Necessary business, security or audit records and copies held by service providers may remain. We do not promise immediate or complete deletion, nor a fixed deletion period. We will consider whether information is still needed for its stated purposes rather than treating the absence of an automatic schedule as permission to keep it indefinitely.

Changes
